Grampian Squash & Racketball Constitution
Name and Objects
1. The name of the organisation shall be Grampian Squash & Racketball and its boundaries will be that area currently administered by Aberdeen City Council, Aberdeenshire Council and Moray Council.
2. The objectives of Grampian Squash & Racketball shall be:
i} To enable competitive Matches to take place between Teams and Individuals in the Region by the organisation of League and Knockout competitions.
ii} To promote high standards of play and marking by the organisation of coaching courses, referee courses and racketball leaders courses..
iii} To develop interest in, and commitment to, the game of squash and racketball by focusing on the development of junior players.
3. Membership is open to all Grampian Clubs and no application for membership will be refused on other than reasonable grounds. There will be no discrimination on grounds of age, disability, gender reassignment, marriage and civil partnership, pregnancy and maternity, race, religion or belief, sex, sexual orientation, political or other opinion.
4. Where membership has been refused, an appeals process can be accessed where the President of Grampian Squash will liaise with Scottish Squash Committee to discuss reasonable grounds.
5. Members can be expelled in extreme cases where adherence to 3 has not been forthcoming. Appeal would be referred to Scottish Squash.
Management
4. The affairs of Grampian Squash & Racketball shall be managed by a Committee elected annually at the Grampian Squash AGM consisting of (as Office Bearers) a President, a Vice-President, a Secretary, a Treasurer, a Match Secretary and a Junior Convenor and six Ordinary Members.
5. The President shall chair all the Meetings of the Committee and shall have the casting vote at all meetings of Grampian Squash & Racketball.
6. The Secretary shall convene all Meetings of the Committee, minute proceedings, correspondence, preserve the records of Grampian Squash & Racketball, and in general, conduct its business in accordance with the directions of the Committee.
7. The Treasurer shall receive and disperse all monies due to and by Grampian Squash & Racketball. They shall keep an accurate record of financial transactions made on behalf of Grampian Squash & Racketball and shall submit a complete financial statement to the Annual General Meeting made up to the end of the year preceding the meeting. The financial year of Grampian Squash & Racketball shall run from 1 April to 31 March. No portion of the income and property shall be paid or transferred directly or indirectly, by way of dividend, distribution, bonus, honoraria or otherwise howsoever by way of profit to the member.
8. The Match Secretary shall formulate fixture lists and collate results of Leagues and Knockout Matches.
9. The Junior Convener shall be responsible for the promotion of junior squash at all ages, by the entry of Teams in the Leagues and Knockout Competitions. Also to promote the individual junior Competitions i.e. the Grampian Junior Open, the Grampian Junior Closed, the Grampian Junior Leagues Individual Knockout Competitions and other junior competitions which come under the jurisdiction of Grampian Squash & Racketball. The Junior Convenor may also use racketball as an introduction.
10. A sub-committee of 3-5 members will be formed to administer interpretation of the rules and adjudicate on disciplinary matters concerning competitions run under the jurisdiction of Grampian Squash & Racketball. Any disciplinary result from this process may be appealed. Any such appeal would be independently adjudged by the full committee where the President would have the casting vote.
11. Sub-Committees may be formed as required by the committee in order to conduct Grampian Squash & Racketball business.
12. All members of the Committee shall be elected at the Annual General Meeting of Grampian Squash & Racketball. At least two members of the Committee must retire each year, but retiring members may stand for re-election. Office Bearers shall be elected at Annual General Meetings and should not hold office for more than three years.
13. The Annual General Meeting shall be held on a date to be fixed by the Committee as soon as is reasonably practicable after the financial year end, but not later than the end of June.
14. An Extraordinary General Meeting may be convened at any time upon the instructions of the Committee or may be convened within 21 days of the receipt by the Secretary of a requisition signed by the authorised representatives of not less than six member Clubs. Any such requisition shall state the objects for which the Extraordinary General Meeting is to be called and these shall be included in the notice of the Meeting.
15. Resolutions proposed at Annual or Extraordinary General Meetings shall be carried only if approved by more than 50 percent of the representatives present and entitled to vote.
16. The Annual General Meeting and Extraordinary Meetings shall be called by a notice served upon each club at least 14 days before the date of the meeting. The notice shall show the items of business in the order in which they are to be dealt.
17. Any proposal regarding Grampian League Rules at an AGM or EGM. Only proposals properly constituted (see Rule 16) will be dealt with by the meeting. No proposal from the floor on the night shall be accepted.
18. The right to vote at General Meetings of Grampian Squash & Racketball shall be confined to one representative of each Member Team(of any member Club) and Committee Members, no person shall have more than one vote.
19. A quorum shall be formed by four members at Committee Meetings.

20. Grampian Squash & Racketball operates the Child Protection Policy as adopted by Scottish Squash Racketball Ltd (SSRL) and detailed on their website: www.scottishsquash.org
Alterations to Constitution
21. The Constitution of Grampian Squash & Racketball may be altered only at a General Meeting called for that purpose. Notice of the proposed alteration(s) to the Constitution shall be sent to each member Club not later than 14 days before the date of the Meeting. The whole or part of such resolution(s) concerning the proposed alteration(s) to the Constitution shall be carried only if approved by not less than 70 percent of the representatives present and entitled to vote.
22. If, upon the winding up or dissolution of Grampian Squash & Racketball there remains after the satisfaction of all the Association’s debts and liabilities any property whatsoever, the same shall be given or transferred to some other organisation or organisations having objects (that is, aims and activities) similar to the objects of the Association, such organisation or organisations to be determined by the members of the Association by Resolution passed at a General meeting at or before the time of the dissolution, and in so far as affect cannot be given to such provision then to some charitable objects.
